Overview
We are seeking a highly organized and detail-oriented HR Administrative Assistant to support our human resources team. This role involves managing various administrative tasks, maintaining accurate records, and providing exceptional customer service to internal staff and external contacts. The ideal candidate will possess strong office management skills, proficiency in computer applications, and excellent communication abilities. Bilingual skills are a plus to effectively serve diverse populations. Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and record keeping using Microsoft Office, Google Workspace, and QuickBooks
Assist with calendar management, scheduling interviews, meetings, and appointments for HR personnel
Support office management tasks such as maintaining supplies, organizing documents, and proofreading correspondence
Provide customer support by responding to inquiries via phone or email with excellent phone etiquette
Support bookkeeping activities including basic invoicing and expense tracking
Assist with onboarding processes, including new employee documentation and orientation coordination
Maintain confidentiality of sensitive information and ensure compliance with company policies
Qualifications

Proven office experience with strong clerical skills and familiarity with office management procedures
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Experience with QuickBooks is preferred; familiarity with bookkeeping is a plus
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Strong typing skills and attention to detail for proofreading and document accuracy
Customer service experience with professional phone etiquette and support skills
Bilingual abilities are advantageous for communicating effectively with diverse clients or staff
Prior experience as a receptionist (medical or dental), personal assistant, or administrative assistant is desirable
Ability to manage time effectively, prioritize tasks, and demonstrate strong organizational skills
