Description: 📝 Bilingual Clerical Assistant (Logistics Support)
Are you a highly organized and detail-oriented individual who excels at managing documentation and coordinating communications? We are looking for a Bilingual Clerical Assistant to provide critical administrative support to our shipping and receiving processes. If you're proficient with computer systems, fluent in English and Spanish, and ready to be the administrative backbone of our operations, this is the role for you!
🌟 What You'll Be Doing: Key Responsibilities
This role is centered on ensuring accurate documentation, maintaining organized records, and facilitating seamless communication to support the daily logistics operations.
Documentation & Data Management
Accurately verify received goods quantities against system purchase orders and promptly update inventory records in the system.
Identify and report any documentation or quantity discrepancies to management.
Prepare and process all necessary shipping documentation, including Bills of Lading (BOLs) and Packing Lists.
Maintain organized files and records for all incoming and outgoing shipments.
Coordination & Communication
Coordinate and schedule the arrival of incoming containers with carriers.
Communicate effectively with carriers regarding scheduling and confirming outbound pickups.
Process and route client orders meticulously, adhering strictly to Standard Operating Procedures (SOPs).
Serve as the primary administrative contact for drivers, receiving them at the entry or gate door.
Maintain efficient and professional communication with clients regarding their orders and shipments.
Provide necessary clerical assistance with drop shipping logistics as required.
General Administrative Support
Assist the warehouse team with basic clerical tasks, data entry, and other administrative support as needed to maintain overall operational efficiency.
🎯 Skills & Qualifications:
Detail-Oriented & Organized: Exceptional ability to manage paperwork, verify data, and maintain accurate records.
Bilingual Proficiency: Fluent in English and Spanish (written and spoken) is required for effective communication.
Computer Skills: Proficient with Microsoft Office Suite (Excel, Word, Outlook) for documentation and communication; experience with data entry is a plus.
Customer Service: Strong interpersonal skills for professional interaction with clients, carriers, and drivers.
Administrative Savvy: Understanding of basic office procedures and strong multitasking abilities.
💰 Compensation
The salary for this position is between $15 and $18 per hour, Dependent on Experience (DOE).
